REGISTRATION TERMS AND CONDITIONS 

  • Early registrations will be accepted until Tuesday, April 3, 2018: Early registrations will be changed to the Regular registration fee if not paid by this date.
  • After Wednesday, April 4 – Sunday, August 19, 2018: Regular registration fees apply.
  • Monday, Aug 20 – Sunday, August 26, 2018: Onsite registration fees apply.

Payment Conditions

All payments are to be made in CAD ($) upon receipt of the invoice. Please indicate the participant’s name and “IOCongress2018” on all payments. 

Full payment of all items is requested when registering (by credit card or by bank transfer). No confirmation or invitation letter will be sent until MCI Canada has received the payment. 

After Monday August 6, 2018, only payments by credit card will be accepted. 

As a registered attendee of the IOCongress 2018, you agree:

  • to grant permission for IOCongress2018 and MCI to use your likeness in a photograph or video in all its publications and presentations, including website entries, without payment or any other consideration.
  • to authorize IOCongress2018 and MCI to edit, alter, copy, exhibit, publish or distribute the photograph or video for purposes of publicizing IOCongress2018 ‘s programs or for any other lawful purpose.
  • to waive the right to inspect or approve the finished product, including written or electronic copy, wherein your likeness appears.
  • that these materials will become the property of IOCongress2018 and MCI.

  • Credit card payments that require reprocessing for any reason will incur a $50.00 CDN administrative fee.
  • If a badge is lost or forgotten, an administrative fee of $50.00 CDN will be charged for the reprint of the badge after identity verification (passport, driving license or other recognized identification documents).
  • Refunds: All confirmed refunds will be made after the congress by bank transfer or credit card per your pre-payment method.

 

GENERAL INFORMATION ABOUT HOTEL BOOKING

Reservations are made on a first come, first served basis. Availability of rooms in each category is limited. Rates apply for a standard room; other room types like a deluxe room, junior suite, suite, etc. are available upon request. All rates are in Canadian Dollars per room, per night and do not include taxes which are subject to fluctuation.

Only guaranteed reservations will be accepted. To guarantee your reservation a non-refundable deposit covering the first night is required, either by bank transfer or by credit card (deposits will be deducted from the final hotel bill when paid by the participant at the hotel).

After the hotel cut-off date of Thursday, July 19, 2018, you will need to contact the hotel directly for any new reservations and changes. If you need additional dates for your hotel reservation out of the congress dates, please indicate your requirements online and you will receive a confirmation once your dates have been confirmed.

If you are sharing a room, please make sure that only one person makes the reservation. Any duplicate reservations that require cancellation will be charged the 1 (one) night non-refundable cancellation fee.

DATA PRIVACY:

All information requested is for use in compliance with applicable international privacy protection legislation. By completing this form, I request that IOCongress2018 use this data to keep me informed of the 27th International Ornithological Congress activities.

INSURANCE AND LIABILITY:

It is recommended that participants obtain adequate cover for travel, health and accident insurance before they depart from their countries. IOCongress2018 and MCI Canada organizers cannot accept responsibility for personal injuries, or loss of, or damage to, private property belonging to the congress participants and accompanying persons. 

IOCongress2018, MCI Canada, Venue, and Hotel are not responsible for either the partial or total non-execution of the contract in the event of accident, natural disaster (either threatened or actual) in war, curtailment or interruption of transportation facilities, threats or acts of terrorism, governmental travel or terrorism advisory, Strikes, Lock out, civil disturbance, the issue of a Travel Warning by the World Health Organization or any other cause beyond the parties' control which prevents the Hotel and /or venue from accommodating the clients of MCI Canada for the event or if for the same reasons the event is cancelled by MCI Canada. 

The Organisers may at their entire discretion repay the delegate fee or Service Charge paid by the Delegate or Exhibitor, or part thereof, but shall be under no obligation to repay the whole or part of such Delegate fee or Service Charge, and shall be under no liability to the Delegate or Exhibitor in respect of any actions, claims, losses (including consequential losses), costs or expenses whatsoever which may be brought against or suffered or incurred by the Delegate or Exhibitor, as the result of the happening of any such event.

CANCELLATION AND MODIFICATIONS CONDITIONS

Cancellation & Refund Policy:

All cancellations and/or modifications must be submitted in writing to the IOCongress2018 Secretariat. Email: registration@iocongress2018.com 


CANCELLATION & REFUND CONDITIONS

  • Notification by January 18, 2018 - A refund will be granted less a $50 CAD administration fee per registration. 
  • Notification between January 19, 2018 and July 3, 2018 - A 50% refund will be granted less a $50 CAD administration fee per registration. 
  • Notifications received starting July 3, 2018 are 100% non-refundable. 
  • Approved refunds will be processed and issued no later than September 26, 2018.


CHANGES / MODIFICATION / NAME SUBSTITUTION 

  • Any changes requiring assistance from the Congress Secretariat are subject to a $50.00 CAD administrative fee. 
  • Changes can be made online at no additional cost by accessing your registration through the delegate portal using your User Name and Password.

Refunds: All confirmed refunds will be made after the Congress by bank transfer or credit card per your pre-payment method.

 

CONGRESS DELEGATE AUTHORIZATION - CLICK TO EXPAND

RESPONSIBILITY 

By registering for IOCogress2018 you have agreed to have your contact information shared with current and future organizers of IOCogress2018. The participant acknowledges that he/she has no right to lodge damage claims against the organizers should the holding of the Summit be hindered or prevented by unexpected political, economic or environmental events or generally by force majeure, or should the non-appearance of speakers or other reasons necessitate program changes. With registration, the participant accepts this proviso.


LIABILITY 

For reasons beyond its control the IOCogress2018 and/or its Agents, MCI Group Canada Inc. and/or its agents have the right to immediately alter or cancel the Summit or any of the arrangements, plans, timetables, sessions or any other items directly or indirectly relating to IOCogress2018. Participants shall not be entitled to return of fees or any compensation for damages that may result from any change, alteration or cancellation. Furthermore, with the exception of any wilful damage or gross negligence committed by IOCogress2018 and/or its agents, MCI Group Canada Inc., neither IOCogress2018 nor its agents shall at any time be liable for any direct or indirect damage suffered by the participants including consequential and immaterial damage, caused by failure to comply with any provision of this document. It is the duty of all participants to ensure that they possess adequate travel and health insurance. The Global Hepatitis Summit and/or its Agents, MCI Group Canada Inc. and/or its agents will not be liable for any damages that occur while attending IOCogress2018, Vancouver.


INSURANCE

The registration fees do not include insurance of participants against accidents, sickness, cancellation, theft, property damage or loss. Participants are advised to take out adequate personal insurance.

Please be aware starting March 15, 2016, visa-exempt foreign nationals who fly to or transit through Canada will need an Electronic Travel Authorization (eTA).

Exceptions include U.S. citizens and travellers with a valid visa.
